IT Asset and License Manager - Software / Hardware - Famous London Institution (West London)

A well-known London institution is looking for an asset and license manager based in South Kensington. This is a newly created role within the IT department of circa 20 people. This role will be pivotal to ensure the IT department's licensing and asset management is consistent and accurate. This is key for our client's Cyber Essentials accreditation and ongoing maintenance of the accreditation.

The successful candidate will have exceptional attention to detail and the ability to navigate the complex area of licensing across all core products used by our client.

Licensing will include products such as Microsoft, Adobe, Mac and the G-Cloud.

Essential requirements

  • Experience of hardware and software asset management processes
  • A background in interpreting licensing terms and conditions
  • A solid understanding of security processes for asset management
  • Proven experience performing a similar role
  • Good understanding of ITIL service management processes
  • Strong communication and interpersonal skills
  • Ability to communicate complex ideas efficiently and effectively, both verbally and in writing
  • Customer focused and goal orientated with keen attention to detail
  • Strong planning and organisation skills
  • Experience of operating with a high level of autonomy and the ability to manage input from others to ensure delivery to agreed timescales
  • Strong sense of ownership and ability to follow tasks through to completion
  • Experience of working with third parties

Desirable requirements

  • ITIL v3 foundation qualified
  • Commercially and contractually astute
  • Familiarity with SAM standards or frameworks (e.g. ISO 19770-X)
  • Knowledge of Microsoft product suite and operating systems including MS SCCM, SCSM, and SCOM
  • Understanding of SQL reporting

Main tasks

  • End to end management of IT software licences including procurement, contract management, renewals and asset control
  • IT hardware management asset lifecycle from procurement right through to decommissioning and disposal
  • Management of core IT contracts (e.g. printer estate)
  • Maintain Configuration Items naming conventions, identification standards for object types, environment, processes etc.
  • Management of libraries, toolset, and data ensuring housekeeping and maintenance is undertaken
  • Ensure legal compliance and optimal utilisation and return on investment across the enterprise
  • Create best practice software licence management disciplines, processes and procedures across the organisation to ensure services are delivered consistently and effectively
  • Work with the Infrastructure team to design software licence management reports
  • Offer and document advice on all issues related to software licensing services
  • Managing version control of all licenced software, making sure that only versions that are supported and covered by licence are used
  • Undertake knowledge management activities: identifying, controlling and storing any pertinent information, and maintaining knowledge items to ensure that they are current, relevant and valid.
  • Line and task management of the IT Finance and Procurement Officer
  • Carry out ad hoc duties as requested by appropriate managers within your department.
